BarCaddy

Privacy policy

BarCaddy · Effective October 2026

This policy covers the BarCaddy app and its website (barcaddy.app) and guest menus (menu.barcaddy.app). In short: your bar lives on your phone, we send things off the phone only to do what you asked, we keep as little as we can, and we never track you, show ads or sell your data.

Your bar stays on your phone

You don't need an account. Your bottles, pantry, recipes, notes and ratings are stored on your device unless you turn on backup and sync.

Photos

When you scan a bottle label or your shelf, or import a recipe from a photo, the photo is resized on your phone and sent to our server, which passes it to Anthropic's Claude to read it. The photo is not stored: once it has been read, it is gone. Anthropic processes it under its commercial terms, which do not allow training on this data. Barcode scans are looked up on the phone; no photo is sent.

Cooper, the bartender

When you ask Cooper a question, your question, the last few messages of the chat and a summary of your bar (the bottles and pantry items you have) are sent to Anthropic's Claude to write the answer. We keep counts and the kind of request (for example which ingredients were involved), never the text of your question. Recipe text you paste to import is handled the same way.

When you share a recipe or shop link, our server fetches that page to read the recipe or product and keeps nothing from it beyond what you save.

Sign in with Apple

Signing in is optional, on the free plan as on Pro, and needed only for backup, sync and sharing a bar. We ask Apple for your name only, and you can change it. We do not keep your email address. We store an account id and, to let you delete your account properly, a token from Apple that is kept encrypted.

Backup and sync

If you sign in, your bar and its contents (bottles, pantry, recipes, notes, ratings, guest menu choices) and your backups are stored on Cloudflare's servers, linked to your account: on the free plan your one bar, with Pro all of your bars. Only you and the co-owners you invite to a bar can see that bar. You can turn sync and backup off, and export your bar at any time, from Settings.

While you are signed in on the free plan, we also count how many of the free AI tries you have used (label and shelf scans, recipe imports, questions to Cooper) against your account as well as your install, so reinstalling the app doesn't reset them. These are numbers only, kept under a scrambled (hashed) form of your account id.

Guest menu and guest feedback

If you publish a guest menu, anyone with its link can see what it shows: the bar's name, its drinks and spirits, and the notes you chose to show. Your private notes are never shown. Guest menus are not listed in search engines.

Guests can vote on a drink and leave a short comment and a first name. These are stored with the bar and shown to its host for 30 days. A guest's browser is identified only by a random id, stored scrambled (hashed) with the bar. IP addresses are used only to stop abuse (rate limits) and are not stored.

Anonymous usage stats

Once a day the app sends anonymous counts: how many bars, bottles and recipes you have, which features you used, your country, your plan and the app version. They are tied to a random install id (not Apple's advertising id), never to your name or account. This is on by default and you can turn it off in Settings › Privacy.

Catalog suggestions

When you add a bottle our catalog doesn't know, the app can suggest it to us so we can add it for everyone. Only the bottle's details are sent (name, producer, type and the like), never a photo. You can turn this off in Settings › Privacy.

Crash reports

The app does not send crash reports for now. If that changes, this page will say so first, and reports will carry no personal data.

Website

The website and guest menus set no cookies for tracking and show no ads. When a page hits an error, a report goes to Sentry, an error-reporting service, without personal data: no IP address, no cookies, no form contents, and guest menu and invite links are blanked out first. Cloudflare Web Analytics counts page views without cookies and without identifying visitors. A guest menu keeps your light or dark choice in your own browser, and tells its host how many times it was opened (a count only, at most once a day per browser).

Pro and purchases

Pro is a subscription bought through Apple. Apple processes every payment: we never see or store your card or other payment details. To know whether your account has Pro, we use RevenueCat, a subscription service: it receives your account's app user id (a random id, not your name or email) and the purchase and receipt data Apple provides for it. RevenueCat's handling of that data is described in its privacy policy. Your subscription status (whether Pro is active, which plan and until when) is stored with your account on our servers, so Pro follows you to your other devices and to the co-owners of your bars. It is deleted with your account.

Deleting your account

In the app, go to Settings › Delete account (it is also in Backup & sync). This deletes your account, your bars on our servers (co-owners are warned first), your backups and your sessions, and tells Apple to revoke BarCaddy's access. Anonymous usage counts, which contain nothing personal, are kept. Deleting the app removes everything stored on your phone.

No tracking, no ads, no selling

BarCaddy does not track you across other apps or websites, shows no ads, and does not sell or share your data with advertisers or data brokers. The only outside services we use are the ones named here: Anthropic (to read photos and answer Cooper), Cloudflare (to run our servers, store backups and count website page views without cookies), Apple (sign-in and payments), RevenueCat (subscription status) and Sentry (website error reports, without personal data).

Legal drinking age

BarCaddy is about alcoholic drinks. It is meant for adults of legal drinking age where they live (18 or older at the least) and is not directed at anyone younger.

Changes and contact

If this policy changes, we will update this page and its effective date. Questions or requests about your data: support@barcaddy.app.
